Online Business Manager (Operations & Marketing Operations)
Job Description
On Call COO is seeking an experienced Online Business Manager (OBM) to lead day-to-day operations and marketing operations across multiple remote client accounts.
Responsibilities
- Act as the operational and marketing operations backbone for client engagements, identifying what needs to happen and keeping systems running.
- Own day-to-day execution for operational delivery using SOPs, workflows, projects, team coordination, and metrics.
- Build and optimize the marketing ecosystem that drives leads and revenue: funnels, landing pages, opt-ins, email automation, courses, and community.
- Design, build, implement, maintain, and optimize a client’s full marketing ecosystem end to end.
- Map the full customer journey from first touch through purchase, onboarding, retention, and ascension, and document it as an ecosystem map.
- Define how systems connect so data and customers flow cleanly across lead magnets, funnels, email, CRM, checkout, course platforms, and community.
- Design and maintain end-to-end funnel components: opt-ins, lead magnets, webinar/masterclass registrations, sales pages, order forms, upsells, downsells, and thank-you pages.
- Build mobile-responsive, on-brand, conversion-focused landing pages using client copy or refining/drafting copy when needed.
- Connect payment processors, checkout flows, and product delivery so purchases trigger correct access, tags, and follow-up.
- QA funnels before launch (links, forms, payments, automations, mobile) and audit live funnels on a recurring schedule to catch breakages.
- Build and maintain nurture, welcome, launch, sales, onboarding, abandoned-cart, and re-engagement sequences.
- Own list health including tagging and segmentation strategy, deliverability basics, and list hygiene.
- Integrate platforms via native integrations, Zapier, or Make to ensure syncing for leads, purchases, and student activity.
- Implement coursework in online learning platforms (including Kajabi, Teachable, Thinkific, Circle, Skool, or similar), covering structure, modules, lessons, video/file uploads, quizzes/assessments, and certificates.
- Configure drip schedules, access levels, bundles, and membership tiers.
- Set up student onboarding, progress tracking, and completion and re-engagement automations.
- Maintain and update course content as programs evolve while keeping navigation and student experience polished.
- Set up community spaces: structure, channels, member onboarding, access rules, and integrations with course and payment platforms.
- Run day-to-day community operations: welcome new members, moderate discussions, answer questions, and escalate issues to the founder or team.
- Plan and run engagement programming such as prompts, challenges, live calls, events, and member spotlights.
- Track community health metrics (active members, engagement, retention, churn) and recommend improvements.
- Monitor funnel and campaign performance (opt-in rates, conversion rates, show-up rates, email engagement, cost per lead, acquisition).
- Run A/B tests on headlines, offers, page layouts, and email subject lines, and document results.
- Identify customer journey drop-off points and implement fixes to improve conversion and revenue.
- Create, update, and document SOPs and company workflows so the business can run consistently without founder involvement.
- Analyze existing systems to identify bottlenecks and implement process improvements.
- Set up and manage tech stacks including CRMs, communication tools, project management, and automation platforms.
- Build automated workflows to reduce manual tasks and improve operational efficiency.
- Map project timelines, scope deliverables, and milestones aligned to business goals.
- Oversee product and program launch execution end to end (launch funnel, email sequences, community activation, and post-launch debrief).
- Monitor KPIs and deadlines, flag risks early, and coordinate resource allocation so delivery stays on track.
- Define the KPIs that matter per client across marketing, sales, delivery, and engagement.
- Build and maintain live dashboards in GHL, Looker Studio, Google Sheets, or the client’s platform for founder/COO visibility.
- Set up tracking and attribution including UTM conventions, pixels, conversion events, and lead source tracking.
- Create monthly performance reports with insights and recommended next steps.
- Monitor project and marketing budgets and flag when spend trends outside plan.
- Coordinate invoicing, contractor payouts, and recurring tool subscriptions.
