Job Description
The Admissions Coordinator/Marketing & Sales role at The Morrison Communities (Summit by Morrison) supports marketing direction and strategy while overseeing admissions and sales activities. Reporting directly to the Chief Executive Officer, this position leads marketing, advertising, fundraising-related efforts, and the day-to-day admissions process.
Key Responsibilities
- Develop and drive the organization’s strategic marketing and sales plan in consultation with the Board Marketing Committee, reviewing and revising as needed.
- Prepare and manage the annual marketing operating budget and authorize expenditures in line with TMC policy.
- Set long-range and annual marketing goals, including occupancy and waitlist targets, adjusting for market changes.
- Research and identify marketing opportunities while staying current on competition.
- Lead Board Marketing Committee meetings to implement and monitor the overall sales and marketing plan.
- Prepare and execute advertising campaigns, communications, and fundraising efforts, including the Annual Appeal and Annual Report.
- Create brochures and marketing collateral in coordination with the Board Marketing Committee.
- Develop and implement tactics that support sales and marketing goals across digital, print, and media platforms as appropriate.
- Manage the TMC website and social media accounts, maintaining a current and positive online presence.
- Plan, coordinate, and execute marketing events such as seminars, open houses, and waitlist events.
- Prepare and distribute the quarterly Morrison Communities newsletter.
- Maintain the donor database by recording new gifts, consolidating duplicate records, updating communication templates regularly, and managing reporting functions.
- Develop and implement a comprehensive philanthropy and fundraising strategy in collaboration with the Board Development Committee and Chief Executive Officer.
- Identify, research, and pursue grant opportunities aligned with organizational priorities; prepare and submit grant proposals and required reports.
- Assist with planning and executing fundraising campaigns and events to increase donor engagement and revenue.
- Cultivate and maintain relationships with donors, foundations, and community partners to grow philanthropic support.
- Track and analyze fundraising performance, providing regular reports and recommendations to leadership and Board committees.
- Collaborate with leadership to align fundraising initiatives with capital and strategic priorities.
- Lead and direct sales at the Summit by Morrison, developing, maintaining, and tracking leads to support occupancy goals.
- Respond to requests for information and schedule meetings or tours; provide informational brochures by mail or email when requested.
- Triages inquiries for other campuses and levels of care appropriately.
- Conduct personal tours, communicating benefits in a positive and customized manner.
- Assess, qualify, and counsel prospective residents and families to determine the most appropriate care setting based on individual needs.
- Maintain rapport through follow-up contacts, documenting interactions in PCC.
- Generate, mail, and distribute correspondence.
- Maintain up-to-date knowledge of services, policies, procedures, and admission criteria across all facets of The Morrison Communities.
- Explain resident contracts, financial considerations, and other continuum of care details in one-on-one meetings.
- Work closely with the Summit’s Assisted Living clinical team to support appropriate client matching as outlined in state regulations and facilitate smooth move-ins.
- Coordinate with the Support Services Manager to help ensure a safe environment for residents.
- Maintain timely, accurate sales lead generation and follow-up data using CRM systems.
- Maintain resident files, databases, and applicant profile data, including turnover and waiting list statistics, with regular reporting to the Chief Executive Officer.
- Coordinate resident move-ins, including application review and stewardship, conducting orientations, and ensuring completion of required paperwork.
- Coordinate transfers between Summit IL, AL, MC, and nursing homes with residents, families, and nursing home staff as needed.
- Communicate effectively with residents and/or families/representatives, while developing and maintaining positive relationships.
- Maintain strict confidentiality in accordance with HIPAA law and TMC policies.
Required Qualifications
- Minimum of an associate’s degree with three to five years of progressive marketing and customer service experience; admission experience in a healthcare setting is preferred.
- Proficient in Outlook, Excel, Word, database management, and communication tools.
- Familiarity with Canva, WordPress, and Meta Business Suite preferred.
- Experience in fundraising, philanthropy, or grant writing preferred.
- Demonstrated success in securing grants or managing donor relationships is a plus.
- Demonstrated knowledge of appropriate communication skills for individuals of all ages, especially the geriatric population.
