Geosyntec Consultants is seeking a Marketing and Proposal Specialist to coordinate proposals and statements of qualifications, develop compelling content, and drive campaigns for the North America West Region. This role blends cross-functional collaboration with rigorous proposal production, offering remote or hybrid options and opportunities across a network of Seattle and Colorado offices.

Overview

The position is anchored in Seattle, WA, with the possibility of remote work and flexibility to collaborate across Geosyntec’s Seattle, Bainbridge Island, Olympia, Bellingham, Colorado Springs, Greenwood Village, and Lakewood locations. Geosyntec is a global engineering and environmental consulting firm known for addressing complex environmental, natural resource, and civil infrastructure challenges. The role focuses on producing compliant, comprehensive, and persuasive submittals—including proposals and opportunity-specific statements of qualifications—for the North America West Region, while managing schedules, edits, and the creation of marketing collateral in line with company policies and applicable regulations.

Compensation ranges from $35 to $37 per hour. The company values initiative and independent judgment, and the role may require occasional overtime to meet deadlines. This position supports remote, hybrid, or in-office work arrangements, with a preference for candidates based in the Pacific or Mountain time zones who can travel for on-site collaboration as needed.

Responsibilities

  • Coordinate all aspects of proposal and SOQ preparation, including schedule tracking, team communications, and final production
  • Carry out assigned proposal tasks with accuracy and minimal supervision
  • Lead development and formatting of proposal content to ensure compliance, clarity, and alignment with client needs and win themes
  • Maintain pursuit schedules and proactively share status updates, reminders, and deadlines with technical and marketing teams
  • Support proposal kickoff and strategy meetings; prepare summaries after check-ins
  • Assemble, organize, and archive proposal materials such as resumes, bios, project descriptions, and boilerplate text
  • Update proposal logs with status and outcomes; follow up on awards and capture debriefs when available
  • Prepare client-facing materials such as presentations, graphics, and supporting documentation
  • Coordinate with technical teams and consultants to collect pursuit content across shared platforms (SharePoint, OneDrive, Teams, etc.)
  • Maintain and manage procurement portals (PlanetBids, Ariba), including solicitation tracking, categorization, and email monitoring
  • Ensure timely and accurate proposal submission, supporting both digital and print production as needed

Requirements

  • A Bachelor’s degree in Marketing, Communications, Journalism, Business, or related discipline and at least four years of progressive professional experience in the AEC industry, or an Associate’s degree with six years of experience, or eight years of directly related experience, or an equivalent combination
  • Progressive experience leading proposal teams and managing increasingly complex assignments
  • Working knowledge of Microsoft Office programs (Excel, Outlook, PowerPoint, Word) and Adobe InDesign
  • Ability to manage multiple deadlines with strong planning, organizational, writing, and formatting skills
  • Proficiency in interpreting marketing, technical, and business documents
  • Ability to craft marketing materials and communications that are articulate, well-structured, and reinforce brand recognition
  • Capacity to create effective presentations and respond to inquiries from internal and external clients
  • Ability to write in a marketing or journalistic style
  • Strong presentation skills and the ability to answer questions from managers, clients, customers, and the public
  • Excellent organizational, time management, and prioritization abilities
  • Adaptability to different communication styles and a client deadline-driven environment
  • Conscientious, flexible, and a collaborative team player
