Marketing, Client Success & Operations Coordinator
Job Description
This part-time role combines marketing coordination, client success, and operational support for Wellness First Integrative Health Center in Midlothian, Virginia. The position emphasizes relationship-building, process optimization, and delivering an outstanding client experience to support practice growth.
Responsibilities
- Welcome and assist new and existing clients
- Schedule discovery calls, consultations, coaching sessions, and workshops
- Answer phone calls, emails, and text inquiries in a professional manner
- Coordinate onboarding for new clients and complete related paperwork
- Maintain accurate client records within the CRM
- Follow up with prospective and current clients
- Ensure every client receives an exceptional experience from initial contact through ongoing care
- Coordinate social media posting across multiple platforms
- Plan and schedule email campaigns and newsletters
- Assist with workshops, community events, and educational presentations
- Coordinate marketing projects with external vendors
- Support website updates and development of promotional materials
- Track marketing activities and follow up with prospects
- Help implement marketing systems and growth initiatives
- Manage calendars and appointment scheduling
- Order supplements and office supplies
- Coordinate inventory management and vendor communications
- Process payments and coordinate with the bookkeeper
- Maintain organized office procedures and filing systems
- Assist with bookkeeping and related administrative tasks
- Contribute to workflow improvements and enhanced operational efficiency
- Support day-to-day practice operations
