Job Description

Eat and Thrive Now is hiring a Healthcare Administrative & Marketing Coordinator to support patients and grow referral connections in a hybrid role based in Peckville, PA. In this part-time position, you will serve as a key front-office contact for prospective and existing patients while also handling scheduling, insurance verification, EHR documentation, and referral and outreach efforts.

You will be the communication bridge between patients, clinicians, and community partners, helping prospective patients understand next steps and supporting smooth intake and onboarding. Along the way, you will maintain accurate records in the practice-management system, uphold HIPAA compliance, and contribute to marketing initiatives and practice materials distribution.

Key Responsibilities

  • Act as a primary point of contact for prospective and existing patients via phone, email, and other practice communication channels.
  • Schedule and reschedule appointments and maintain accurate clinician schedules.
  • Respond professionally and compassionately to patient questions, concerns, and administrative follow-up.
  • Support prospective patients with service navigation, including guiding them through the process of becoming a patient.
  • Conduct discovery calls with prospective patients to understand needs, concerns, and barriers to scheduling.
  • Explain services clearly, including how working with a registered dietitian may help.
  • Answer appropriate questions and address concerns without using high-pressure sales tactics.
  • Request the next step when appropriate, including scheduling appointments and arranging follow-ups.
  • Follow up with warm leads who have expressed interest but not yet scheduled.
  • Verify insurance benefits and coverage; document insurance information and communicate benefit details to patients.
  • Register new patients and coordinate intake and onboarding.
  • Maintain accurate patient demographics, insurance details, intake documentation, and administrative records in the EHR/practice management system.
  • Assist with payment information and other front-office administrative processes.
  • Coordinate with the billing team when insurance or claim-related follow-up is needed.
  • Maintain HIPAA compliance and protect patient information.
  • Perform professional outreach to physician offices, healthcare organizations, community organizations, and potential referral partners.
  • Build and maintain relationships with office staff, providers, and community partners, including consistent follow-up.
  • Help secure Lunch & Learn opportunities, meetings, presentations, and other connection opportunities for the team.
  • Coordinate community presentations, health fairs, networking events, and other outreach activities.
  • Maintain organized records of referral contacts, outreach activity, follow-ups, and next steps.
  • Assist with marketing initiatives and the distribution of practice materials.

Required Experience & Skills

  • Minimum 2 years of experience in a healthcare, medical office, outpatient practice, or similar clinical setting.
  • Experience with patient scheduling, intake, medical reception, practice administration, or care coordination.
  • Hands-on experience using an EHR or healthcare practice-management system.
  • Working knowledge of HIPAA and handling protected health information.
  • Warm, professional, and empathetic communication with patients, plus confidence on the phone.
  • Comfort guiding prospective patients from initial inquiry through scheduling.
  • Comfort initiating outbound calls to physician offices, patients, and community organizations.
  • Ability to build relationships without relying on aggressive or high-pressure sales tactics.
  • Strong verbal and written communication skills, with exceptional attention to detail.
  • Strong follow-through for calls, verification, scheduling, documentation, and follow-ups.
  • Ability to manage multiple priorities while keeping records accurate.
  • Comfort working independently while communicating closely with a small team.
  • Proactive problem-solving with ownership of responsibilities.

Work Schedule

  • 20-30 hours per week, primarily Monday through Friday during business hours.
  • Some in-person work and local healthcare/community outreach will be required.

Compensation

  • $22.00–$28.00 per hour, commensurate with relevant healthcare, administrative, and relationship-development experience.

Position Start & Duration

  • Initial 90-day period, with the opportunity to develop into a permanent role and/or full-time based on performance and organizational needs.
