Coordinator of Programming and Marketing
Job Description
Based in Riviera Beach, Florida, this onsite role supports the Safety Council of Palm Beach County by coordinating programming and marketing activities. The position schedules both in-person and virtual training sessions and works to raise awareness of the Council’s programs and services.
The role blends client relationship management, event logistics, and marketing support to ensure high-quality training experiences and broad engagement with the Council’s offerings.
Responsibilities
- Develop and maintain relationships with new and existing clients to ensure continuity of services and support.
- Oversee private classes, including scheduling, venue selection, and instructor preparation.
- Manage all open enrollment classes, covering scheduling, marketing, and outreach efforts.
- Generate invoices for training services and memberships.
- Maintain membership and program involvement databases.
- Coordinate with instructors to keep topics aligned with client needs.
- Maintain a training calendar of on-site and off-site program offerings.
- Collaborate with instructors to identify and develop new program ideas.
- Assist in creating marketing materials to promote services to prospective users.
- Welcome guests and test takers and serve as a proctor as needed.
- Meet monthly with the Executive Director and Operations Manager to review Accounts Receivable.
- Report student pass/fail outcomes to the appropriate agency or client.
- Produce quarterly progress reports for the Executive Director detailing the department’s progress.
- Order course booklets, trainer binders, and other department materials.
- Provide the finance department with information required for the annual 990 report.
- Assist with planning the annual safety awards luncheon and golf tournament.
- Represent the organization at trade shows and conferences as requested.
- Perform other duties as assigned by a supervisor.
Requirements
- An associate degree with relevant industry experience, or an equivalent combination of education and experience.
- Minimum five years of experience coordinating programs, training, or related fields; experience in the construction or safety sectors is preferred.
- Ability to manage competing priorities and operate effectively in a small office environment.
- Strong grasp of people, processes, procedures, and how they interrelate.
- Solid business acumen.
- Knowledge of instructional design, e-learning design, and training technologies.
- Ability to think strategically and analytically.
- Project and time management skills.
- Strong writing and editing abilities.
- Proficiency with QuickBooks, Microsoft Word, Excel, and the Microsoft Office suite.
- Occasional local travel.
