Job Description

This role coordinates marketing and proposals activities in the Madison office, supporting the Manager of Marketing and Proposals with organizing, editing, and producing client-targeted marketing deliverables and collaborating to advance energy-efficient building solutions.

Responsibilities

  • Assist in proposal development by creating, organizing, and editing content such as resumes, project narratives, and client-facing materials to meet client requirements.
  • Complete assigned tasks efficiently using marketing systems and tools like CRM, DAM, and desktop publishing to support proposals, qualifications, and presentations.
  • Maintain and organize proposal databases, content libraries, and related resources to ensure information is accurate and accessible.
  • Collaborate with marketing and business development teams on projects, delivering specific deliverables and contributing to broader marketing initiatives under supervision.
  • Leverage marketing systems and tools to perform day-to-day tasks, optimizing content creation and project tracking for assigned responsibilities.
  • Gather, organize, and distribute content needed for proposals to ensure timely and accurate completion of each proposal phase.
  • Track proposal deadlines, submissions, and project statuses to support efficient proposal management and workflow organization.
  • Participate in team meetings to stay informed on project updates, provide process feedback, and share insights for incremental improvements in tools and workflows.

Requirements

  • Strong attention to accuracy and detail in delivering final materials.
  • Ability to collaborate effectively within a team environment.
  • Growing verbal communication skills with high proficiency in written communication.
  • Proven ability to prioritize tasks and manage time to meet deadlines.
  • Familiarity with foundational quality assurance processes for marketing deliverables.
