Job Description

A dual role providing sales and marketing coordination plus executive administrative support to the President, onsite in Champaign, IL.

Responsibilities

  • Assist with planning and executing marketing campaigns, promotions, and sales programs.
  • Coordinate trade shows, networking events, client meetings, and marketing presentations.
  • Maintain and update customer data in CRM systems and prepare sales reports.
  • Develop sales materials, proposals, presentations, and marketing collateral.
  • Track sales leads, follow-ups, and client communications.
  • Oversee social media activities, website updates, and email marketing campaigns.
  • Conduct market research and competitive analyses to support business development.
  • Coordinate with vendors, printers, and external marketing partners.
  • Assist with content creation including newsletters, brochures, and promotional materials.
  • Generate regular sales and marketing performance reports for leadership.
  • Independently identify prospective clients, obtain key decision-maker contacts, and provide qualified lead intelligence with minimal supervision.
  • Manage the President’s calendar, travel arrangements, and meeting schedules.
  • Screen calls, emails, and correspondence on the President’s behalf.
  • Prepare reports, presentations, meeting agendas, and executive summaries.
  • Coordinate internal and external meetings, including logistics and follow-ups.
  • Handle confidential information with professionalism and discretion.
  • Support special projects and strategic initiatives as assigned by the President.
  • Maintain organized filing systems and administrative documentation.
  • Serve as a liaison between the President, staff, clients, vendors, and partners.
  • Provide office coordination and administrative support as needed.
  • Order office supplies and manage inventory.
  • Assist with onboarding paperwork, scheduling, and internal communications.
  • Support accounting or invoicing processes when necessary.
  • Ensure smooth day-to-day office operations.
  • Perform other duties as assigned.

Requirements

  • Associate’s or Bachelor’s degree in Business, Marketing, Communications, or a related field preferred.
  • 3+ years of experience in sales support, marketing coordination, executive administration, or a related role.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, CRM software, and marketing platforms.
  • Experience with social media management and digital marketing tools preferred.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Professional demeanor and strong interpersonal skills.
  • Self-motivated with the ability to work independently and collaboratively.
