Job Description

The Events and Marketing Coordinator role at ACBJ centers on shaping and delivering Buffalo Business First events through integrated marketing, registration management, sponsorship coordination, and on-site logistics. Based onsite in Buffalo, NY, this part-time position blends hands-on event execution with multi-channel promotion, ensuring brand-consistent experiences for honorees, speakers, and sponsors. The role offers a pay rate of USD 22 per hour and requires hands-on collaboration with the Event Director and cross-functional teams.

Responsibilities

  • Lead the development and execution of each event's marketing plan across social media, email campaigns, print, and web channels.
  • Collaborate with the Event Director and the Business Design Desk (BDD) to keep marketing efforts on track.
  • Identify and cultivate relationships with community partners to boost event exposure and outreach.
  • Create and update event registration pages within the company system, in coordination with the Event Director.
  • Ensure real-time updates for new sponsorships and event speakers.
  • Support the Events Director in regular communication with honorees and assist in coordinating speaker logistics as needed.
  • Manage the sponsorship schedule for all sponsors and register honorees, speakers, and sponsors for programs in a timely and accurate manner.
  • Oversee the design of event collateral with the Business Design Desk to maintain cohesive branding and onsite assets.
  • Brainstorm with the Events Director on overall event execution and successful delivery.
  • Handle day-of event registration and assist with event preparation tasks such as badges, signage, publications, décor, sponsor materials, awards, and branding assets.
  • Assist with load-in, setup, and load-out operations as needed.
  • Contribute to strategic planning for Buffalo Business First events, including creating new events and refining existing ones, and help implement event themes.
  • Maintain a shared filing system for all event trackers, communications, and planning documents with the Events Director.
  • Produce tailored event recaps for Gold-level clients and general recaps for other sponsor levels.
  • Assist with proofreading of event materials and provide planning and logistics support as necessary.
  • Update sponsor, honoree, and speaker trackers regularly and assist in gathering materials for programs.
  • Keep the Events Director informed of workflow and status; collaborate with colleagues across departments and share scheduling tools and plans.
  • Participate in Business Unit-sponsored events promoting the paper, as with other staff members.
  • Participate in all applicable training offered by ACBJ and Buffalo Business First when possible.

Requirements

  • Candidates must have published clippings available.
  • Demonstrated proficiency in news writing.
  • Interest in business journalism as a potential career path.
  • Proficient with Microsoft Office applications (Word, Excel, Outlook, etc.).
  • Proficient with communication platforms (Teams, Webex, Zoom, etc.).
