Job Description
The Marketing Coordinator will provide administrative and financial support to the Nashville marketing team, reporting to the EVP of Marketing. The role covers invoicing, scheduling, logistics, and cross-functional coordination for campaigns and events.

The Warner Records Nashville marketing group is a dynamic, results-driven team dedicated to elevating artists and their music. We operate as the central hub for campaigns, ensuring seamless cross-functional alignment across label departments, management partners, and external collaborators.
Your role
In this position, you will report directly to the EVP of Marketing, serving as the backbone of administrative and operational support for the entire marketing department. You will provide comprehensive assistance to the full team of marketers, including the EVP, VPs, Managers, and the Digital Marketing group.
Here you'll get to
- Own Invoice & Financial Processing: act as the central point of contact for the label's marketing finance operations, handling, routing, and processing marketing invoices, purchase orders, and vendor setups for the full artist roster in line with corporate guidelines and budgets.
- Provide Full-Department Administrative Support: manage day-to-day office administration for the marketing team, including scheduling, planning, and logistics for high-level meetings.
- Support Roster Logistics & Campaigns: assist Marketing leads with execution logistics for singles, EPs, and album rollouts, including printing and distribution of mailers and promotional materials.
- Facilitate Touring & Event Operations: provide administrative and logistical help to the Manager of Touring & Events, coordinating ticket buys, guest lists, fan experiences, showcase logistics, and on-site support.
- Coordinate Cross-Functional Communications: act as a reliable internal hub, routing department updates and meeting agendas to keep the team aligned and efficient.
Responsibilities
- Own Invoice & Financial Processing: central contact for marketing finance operations, managing invoices, POs, and vendor setups for the full roster while ensuring compliance with guidelines and budgets.
- Provide Full-Department Administrative Support: handle daily office administration, scheduling, planning, and logistics for executive-level meetings.
- Support Roster Logistics & Campaigns: assist with execution logistics for campaign rollouts, including mailers and promotional materials.
- Facilitate Touring & Event Operations: provide administrative and logistical support for touring and events, including ticketing and on-site coordination.
- Coordinate Cross-Functional Communications: maintain a steady flow of updates and agendas to keep the team informed and coordinated.
Requirements
- Minimum of 1β2 years of administrative, financial, or coordinator experience within a record label, entertainment company, agency, or corporate environment (strong internships considered).
- Proficiency with financial tracking systems, invoice processing, or budget management.
- Exceptional organizational skills and meticulous attention to detail; able to manage multiple requests concurrently without lapses.
- Strong digital literacy with Excel or Google Sheets, presentation tools (Keynote or PowerPoint), and project management software.
