Marketing Proposal Coordinator
Job Description
Valdes Architecture & Engineering is seeking a Marketing Proposal Coordinator to join its Lombard, IL team on site. In this role, you will coordinate and deliver high-quality proposals and marketing collateral across the Buildings, Transportation, Survey, and Water markets to support public infrastructure projects. The position combines strategic bid support with hands-on marketing execution to drive successful pursuits from inception through submission.
Location: Lombard, IL (onsite) • Salary: USD 65,000 - 95,000 per year • Education: Bachelor’s degree • Experience: Minimum 3 years
Responsibilities
- Collaborate with Vice Presidents and Directors to craft responses to RFPs/RFQs, proposals, presentations, statements of qualifications, and other marketing materials
- Coordinate the pursuit process and lead the generation of public sector responses from start to finish
- Maintain a marketing and business development calendar for industry events and related activities
- Manage the collateral library, including resumes, project sheets, project lists, capabilities, and photography
- Participate in pre-proposal meetings, industry events, and site walkthroughs as needed
- Support miscellaneous tasks such as creating visual collateral, organizing mailing lists, and assisting with conference decks
- Oversee selection databases and summarize long-range plans, including IDOT’s Multi-Year Plan
- Facilitate a formal Go/No-Go decision process for each pursuit
- Develop social media content for LinkedIn
- Coordinate with project managers to obtain project information and resume updates
- Assist in creating Valdes website content related to the public sector
Requirements
- Bachelor’s degree in writing, marketing, communications, journalism, public relations, or related field
- Minimum of 3 years leading the proposal preparation process, ideally within architecture and engineering
- Ability to drive the response generation process and gather, organize, and format information from team members
- Strong interpersonal skills and highly organized approach
- Must be eligible to work in the United States without sponsorship now or in the future

Technical Competencies
- Extensive experience preparing SF330 forms for Federal Government projects and CDB330 forms for Illinois state pursuits
- Significant experience producing documentation for IDOT, Illinois Tollway, and other transportation clients
- Preference for familiarity with E-Builder, EPAS, and CDB 330
- Strong graphic capabilities
- High proficiency in Adobe InDesign
- Proficiency in Microsoft Office, Photoshop, and other publishing and graphic design programs
