Key Responsibilities

  • Process vendor invoices, ensure timely payment, and record entries in the departmental budget tracking sheet.
  • Schedule and attend department meetings, take detailed notes, and distribute notes and action items promptly.
  • Check shared departmental inboxes in Outlook and Gmail daily, then route actionable messages to the appropriate person.
  • Traffic advertising materials to media vendors and partners, track specifications and deadlines, and provide copy for media partners as needed.
  • Solicit bios and headshots from each show’s cast, creative team, and staff, follow up until all materials are received.

  • Schedule Positioning and Editorial meetings with internal teams and external creative partners, then distribute notes and action items.
  • Hand off collected materials to the Communications Manager for program production, writing, and proofing.
  • Assist the Communications Manager with proofing and gathering approvals as needed.
  • Partner with marketing and audience leadership to identify, solicit, and contract social media influencers and outside partners for each show.
  • Create an external media kit for each show with the Marketing Fellow, and support cross-promotions with local theatre, arts, cultural, and affinity organizations.
