Responsibilities

Marketing Automation, Funnels & Integration: Design and sustain automation workflows in HubSpot and GoHighLevel, including triggers, branching logic, delays, send conditions, and CRM enrollment. Create automations for corporate campaigns, advisor campaigns, and internal team processes. Build end-to-end campaign funnels with landing pages, forms, and email nurture sequences, plus the automation that connects them to the CRM. Develop and deploy email campaigns and nurturing sequences.
Asana Work Management Operations: Manage the Asana environment powering the marketing team, including portfolios, project templates, custom fields, automation rules, naming conventions, and intake forms. Maintain AI agents in Asana that monitor workload, keep task hygiene, and track campaign timing. Run the intake workflow that converts form submissions into configured projects. Maintain templated projects for advisor, corporate, and team initiatives.
Platform & Vendor Operations: Manage automation behind advisor-facing platforms, including trigger logic, approval workflows, and monthly campaign delivery. Serve as the day-to-day technical contact for advisors using these platforms. Liaise with platform vendors for escalations, feature requests, and tracking product changes impacting downstream automation. Ensure platform automation remains compliant with industry regulations.
AI-Assisted Execution & Tool Building: Utilize AI tools (such as Claude or ChatGPT) daily for drafting, debugging, and accelerating builds. Operate within the organization’s AI infrastructure, including skills, compliance frameworks, and campaign architecture standards, contributing to ongoing improvements as the stack evolves. Apply AI-assisted development to create lightweight marketing tools for internal teams without requiring formal coding.
System Health & Documentation: Monitor the health of owned automations and integrations, track Zap error rates, workflow uptime, and integration failures. Flag anomalies and escalate before campaigns are impacted. Maintain SOPs for all owned processes and document workflows, Zaps, and integrations so others can take over.

Requirements

Hands-on experience designing and building multi-step automation workflows, with the ability to explain end-to-end operation and the reasoning behind the design.
Experience delivering complete campaign funnels, including landing pages, forms, email sequences, and the connecting automation.
Practical ability to diagnose and fix integrations when they break, across multiple platforms.
View automation, CRM logic, project management, and platform integrations as a single connected stack and can design across it.
Deep experience operating a work management system (such as Asana, Monday.com, or comparable) including templates, automations, rules, custom fields, and portfolio structure.
Comfortable managing work across several platforms simultaneously and quick to learn new tools.
Proactively improves SOPs and creates new ones when needed.
Delivers work with speed and handles fast-turnaround campaign builds and integration deliverables.
Identifies gaps in infrastructure and presents a solution along with the problem.
Daily use of AI tools and recent practical AI-driven outputs within the last 90 days.
AI-assisted development (vibe coding) skills with strong prompting fluency; no formal coding experience required.

Job Description

CreativeOne is seeking a Marketing Operations Specialist in Leawood, KS (onsite) to manage advisor-facing platforms, email marketing, automation, and cross-channel campaigns.

Responsibilities

Oversee end-to-end management of advisor-facing marketing platforms, including EngageOne (white-labeled Snappy Kraken) and Levitate; onboard advisors, provide ongoing support, handle tickets, schedule content, and be the primary contact for advisors on email nurture and social content needs; maintain advisor rosters and ensure compliance across platforms.
Build and dispatch marketing emails in HubSpot per templates and brand standards; support A/B tests, list segmentation, and performance tracking under the Marketing Manager.
Configure and own marketing automation workflows in HubSpot and GoHighLevel; manage assigned workflows end-to-end and collaborate on larger builds with the Marketing Automations Specialist.
Create and monitor Zaps, troubleshoot connections, and escalate systemic issues; follow established patterns and documentation for Zap construction.
Schedule and publish social content across LinkedIn, Facebook, and other platforms using approved creatives; maintain publishing calendars and ensure timely delivery across advisor and brand accounts.
Serve as the day-to-day liaison with platform vendors such as Snappy Kraken and Levitate; escalate issues, coordinate feature requests, and relay updates to the Marketing Manager.
Maintain and update standard operating procedures for owned processes; document new procedures with visuals using Scribe alongside written documentation.
Leverage AI tools to accelerate execution and improve output quality; apply AI-assisted development to build lightweight marketing tools and mini-apps for other teams without requiring formal coding.
Adapt across digital channels as business needs evolve and own delivery within new channels and platforms as they come online.
Track, analyze, and report on performance metrics across owned channels; generate standard reports, flag anomalies, and contribute to analytics capabilities.

Requirements

Hands-on experience with marketing automation platforms such as HubSpot, GoHighLevel, ActiveCampaign, or comparable tools.
Solid understanding of email marketing fundamentals including deliverability, segmentation, workflows, A/B testing, and performance metrics.
Ability to configure automation workflows and understand trigger, action, and condition logic.
Comfort managing integrations between platforms, with Zapier experience strongly preferred.
Detail-oriented with strong organizational and follow-through skills.
Excellent written and verbal communication abilities.
Ability to manage multiple concurrent tasks and prioritize effectively.
Professional and responsive demeanor when interacting with advisors and vendors.
Demonstrated use of AI tools (such as ChatGPT or Claude) in professional or project contexts to accelerate marketing work.
