Job Description

HMS Inc. is seeking a full-time Administrative Assistant/Marketing Coordinator to join the on-site team in Anchorage, AK. The role blends administrative duties with marketing support for a construction cost consulting firm, including data entry, correspondence, file management, and RFP support. The position pays $22.00 to $28.00 per hour and requires a minimum of five years of administrative experience.

Responsibilities

  • Enter cost estimate data into Excel spreadsheets and maintain related records
  • Format and proofread estimates to ensure accuracy
  • Answer phones and manage email correspondence
  • Draft general correspondence in Word and Excel
  • Scan and file documents for organized records
  • Maintain internal databases using Excel and Access
  • Support marketing activities, assist with responses to Requests for Proposals (RFPs), and provide marketing materials to clients
  • Perform other general office duties as assigned

Requirements

  • Intermediate proficiency with Microsoft Excel and hands-on experience
  • Accurate data entry skills
  • Ability to perform formula calculations
  • Verify correct formulas are used during quality control reviews
  • Link cells within a workbook as needed
  • Cell formatting and data presentation
  • Show and hide tabs and columns as required
  • Minimum five years of administrative assistant or office experience
  • Experience using MS Word, Outlook, and Adobe Acrobat Pro
  • Excellent written and verbal communication skills
  • Typing speed of 45 words per minute or higher
  • Effective time management with the ability to multi-task
  • Ability to prioritize workload to meet multiple deadlines
  • Attention to detail and strong proofreading abilities
